An apostille is a certificate issued by the state which authenticates the official who has signed your document.  An apostille does not authenticate the contents of the document; only the official who as signed it.  In order to apostille a document, it must be presented to the state or the Department of State.

The United States is a member of the Hague Apostille Convention.  Documents originating from the United States (Example: Birth certificates, death certificates, marriage certificates, divorce decree, power of attorney, transcripts, diplomas, FBI background checks, etc…) can be apostilled in the United States.

Copy Certify Apostille

Do you need to apostille a notarized color copy of your documents (AKA: Copy Certify)?

The process of copy certifying a document can be confusing.  Some documents can be signed and notarized while another will need to be color copied before it can be signed and notarized.  Also, in some states a notary can copy certify a document without you physically being there.

Therefore, we recommend that you contact our office so we can provide detailed step-by-step instructions to avoid potential delays.  For example, a color copy of a diploma can be copy certified by the University’s Registrar and a notary public.  A color copy of a driver’s license can be signed and notarized in the state it originates from.

The most common type of documents that are copy certified are the following:

  1. Passports (US or Foreign)
  2. Driver’s License
  3. Utility Bill
  4. Diplomas
  5. Transcripts
  6. Will
  7. Vehicle Title
  8. Certificate of Naturalization (Copy certified by the local USCIS office)

Note: Vital record documents (birth, marriage, death, etc…) are not copy certified.  Also, a background check issued by the FBI is not notarized and only processed in Washington, D.C.

Obtaining an apostille on certified color copy of a document can be complicated. College Apostille

Do you need to apostille a College diploma and/or transcripts?

Did you attend a College in the U.S. and need to apostille your diploma and/or transcripts for another country who is a member of the Hague Apostille Convention?

Please follow the step-by-step instructions below.  Remember, the diploma and/or transcripts must be signed and notarized by the Registrar’s office at the College.  Also, before you get started, find out if they are requesting the original diploma to be apostilled or a color copy.  Most countries are okay with a notarized color copy.  Some countries may request the original to be notarized.

Step #1: The first step is to contact the Registrar at the College and inform the Registrar that you will need the original or a color copy of your diploma to be signed and notarized.  The Registrar with either ask you to mail in the original diploma or email a color copy. Some Colleges will request that you purchase a new diploma which can take time. If the College does not have a notary on staff, a traveling notary can visit the College and meet with the Registrar.  You can search online and arrange for a traveling notary service to visit the College when it’s convenient for the Registrar.  Most notaries are unfamiliar with authenticating a diploma and/or transcripts through the State and for another country so it’s best to leave the apostille process to us.  The notary must follow the proper notarial laws of their State in order for the State office to authenticate the documents.  We have provided instructions for the notary on the second page of our order forms.

Step #2: Once you receive your notarized diploma, go ahead and verify that the diploma has been signed and notarized.  Some Colleges will sign and notarize the back of the diploma while others have enough space to use the front.  The original signature and the printed name of the Registrar must be on the documents including the notary’s name, signature, date of notarization, notarial wording, and stamp.  In certain situations, the University might draft a signed and notarized cover letter and attach it to the diploma (color copy or original).

Step #3: The final step is to mail in your notarized diploma with our completed order forms to our office for processing.  We have created an order form and credit card authorization form for every US State and the District of Columbia.

Work Verification Letter Apostille

Do you need to apostille a work verification letter?

A work verification letter, also known as an employment verification letter, is a formal document issued by an employer to confirm the employment status and details of an employee. This letter is often requested by employees for various purposes, such as applying for loans, renting apartments, immigration processes, or other situations where proof of employment is required.

The work verification letter typically includes the following information:

  • Employee’s Name: The full name of the employee.
  • Job Title: The specific job title or position held by the employee.
  • Dates of Employment: The start and, if applicable, end dates of the employee’s tenure with the company.
  • Employment Status: Whether the employment is full-time, part-time, temporary, or permanent.
  • Salary or Income Information: Sometimes, the letter may include the employee’s salary or hourly wage.
  • Responsibilities: A brief description of the employee’s job responsibilities or duties.
  • Contact Information: The contact details of the person within the company who can verify the information (often an HR representative).

The letter is typically printed on company letterhead and signed by an authorized representative of the company, such as the HR manager. Once notarized, it can then be mailed to our office with our apostille order forms.  For example, if your work verification letter is signed and notarized in California, you will then need to mail in your document with our California apostille order forms for processing.

It’s important for the letter to be accurate and truthful, as it serves as an official confirmation of the employee’s employment history. Additionally, the letter may be customized to suit specific requirements, depending on the purpose for which it is being requested.

Work Visa for Spain Apostille

Are you planning to work in Spain?  Have you been asked to apostille your diploma and FBI background check for Spain?

We can apostille your documents so you can present them to the Spanish Consulate or Embassy.

An employment visa is intended for individuals aged 16 and above who are seeking to work as employees in Spain, under a valid work contract. This type of visa covers various work engagements, including seasonal work opportunities.

Required Documentation (Please contact the Consulate for the most up-to-date instructions):

  1. Completed National Visa Application Form: Each applicant, including minors, must fill out and sign a visa application form, ensuring all sections are properly completed. If the applicant is a minor, one of their parents must sign the application on their behalf.
  2. Passport-Sized Photograph: Provide a recent passport-sized color photograph taken against a light background. The photo should show the applicant facing forward without any obstructive items such as dark or reflective glasses or clothing covering the face.
  3. Valid Passport: Present both the original and a photocopy of the passport pages containing biometric data. The passport should be unexpired and have a validity period of at least 4 months (or covering the contract duration for temporary work). The passport must also have two blank pages. Passports issued more than a decade ago will not be accepted.
  4. Initial Residence and Employee Work Permit: Provide the original and a copy of the initial residence and employee work permit, which should be endorsed by the employer.
  5. Work Contract Copy: Include a stamped copy of the work contract, which should be verified by the Foreign Nationals’ Office.
  6. Criminal Record Check Certificate: Adults must submit both the original and a copy of criminal record check certificate(s) issued by their current or previous countries of residence for the past 5 years. If the documents are foreign, they must be legalized or apostilled, and if applicable, accompanied by an official Spanish translation. (FBI Apostille for Spain)
  7. Medical Certificate: Include both the original and a copy of a medical certificate affirming the applicant’s good health and absence of diseases that could pose significant public health concerns according to the 2005 International Health Regulations. This document should be signed by the Doctor and notarized.  (Medical Record Apostille)
  8. Proof of Consular District Residence: Provide documentation establishing residence within the consular district.
  9. Representative’s Identity and Capacity Proof: For minor applicants, originals and copies of a parent’s identity document or passport, as well as documents demonstrating kinship, are required. Foreign documents should be legalized or apostilled and supplemented with an official translation into Spanish if applicable.
  10. Visa Fee Payment: The visa fee is typically 80 euros. Different rates apply to nationals of Australia, Bangladesh, Canada, the United States of America, and the United Kingdom due to reciprocity reasons. For these cases, applicants should check the specific fee amount with the Consular Office.
  11. Diploma and/or Transcripts: In order to prove that you are eligible for the position, you will be asked to apostille your diploma and/or transcripts.  (Diploma Apostille)

Additional Requirements

In some cases, the Consular Office might request further documents or information to evaluate the application. Additionally, a personal interview might be required for certain applicants as part of the assessment process.  Please contact Consulate for the most up-to-date information)
