University Apostille

August 2, 2023 by Admin

Do you need to apostille a University diploma and/or transcripts?

Did you attend a University in the U.S. and need to apostille your diploma and/or transcripts for another country who is a member of the Hague Apostille Convention?

Please follow the step-by-step instructions below.  Remember, the diploma and/or transcripts must be signed and notarized by the University’s Registrar.  Also, before you get started find out if they are requesting the original diploma to be apostilled or a color copy.  Most countries will are okay with a color copy.

Step #1: The first step is to contact the University’s Registrar and inform the Registrar that you will need the original or a color copy of your diploma to be signed and notarized.  The Registrar with either ask you to mail in the original diploma or email a color copy. Some University’s will request that you purchase a new diploma which can take time. If the University does not have a notary on staff, a traveling notary can visit the University and meet with the Registrar.  You can search online and arrange for a traveling notary service to visit the school when it’s convenient for the Registrar.  Most notaries are unfamiliar with authenticating a diploma and/or transcripts for another country so it’s best to leave the apostille process to us.  The notary must follow the proper notarial laws of their State in order for the State office to authenticate the documents.  We have provided instructions for the notary on the second page of our order forms.

Step #2: Once you receive your notarized diploma, go ahead and verify that the diploma has been signed and notarized.  Some University’s will sign and notarize the back of the diploma while others have enough space to use the front.  The original signature and the printed name of the Registrar must be on the documents including the notary’s name, signature, date of notarization, notarial wording, and stamp.  In certain situations, the University might draft a signed and notarized cover letter and attach it to the diploma.

Step #3: The final step is to mail in your notarized diploma with our completed order forms to our office for processing.  We have created an order form and credit card authorization form for every US State and the District of Columbia.

Obtaining an apostille on a University diploma can be complicated. Don’t leave this process to untrained employees or non-professionals who do not fully understand the apostille process and the unique requirements of certain countries. Your paperwork could be rejected costing you time and money. Don’t let this happen to you!

Our staff is available Monday-Saturday from 9am to 6pm to answer your questions and provide you easy to follow-step-by-step instructions.  Please call us at 1-800-850-3441.

Apostille Certificate of Naturalization

July 28, 2023 by Admin

Do you need to apostille your Certificate of Naturalization.

A Certificate of Naturalization is a U.S. Federal Government document issued by Homeland Security (U.S. Immigration and Naturalization Services) and can only be apostilled through our office in Washington, D.C.  This document cannot be notarized, copy certified, nor processed through any Secretary of State office.  All U.S. Federal documents are processed in Washington, D.C.

At Apostille Services, we take the guesswork out of obtaining an apostille on your Certificate of Naturalization. We can process a Certificate of Naturalization issued by the U.S. Federal Government through our Washington D.C. apostille office.

A Certificate of Naturalization is a document issued by United States Federal Government as proof of a person having obtained U.S. citizenship through naturalization (a legal process of obtaining a new nationality).  If you do not have a copy of your Certificate of Naturalization, please contact the local U.S. Citizenship and Immigration Services.

If your Certificate of Naturalization is older than 20 years, you will need to contact the local US Citizenship and Immigration Services (USCIS) office to certify the copy of your document on Form G-24.  Once certified, go ahead and mail in the copy with our Washington DC order forms.  We have provided instructions on how to certify a copy of a Certificate of Naturalization older than 20 years here: Certificate of Naturalization USCIS Form G-24

If your Certificate of Naturalization is issued within the past twenty years, go ahead and mail the original to our Washington DC office for processing with our Washington DC apostille order forms.

Consent to Travel Apostille

July 26, 2023 by Admin

Do you need to apostille a consent to travel?

At Apostille Services, we take the guesswork out of obtaining an apostille on your consent to travel letter.

We handle the apostille process for travel consent letters signed and notarized in all 50 U.S. states, the District of Columbia, and the U.S. Federal Government (USA Embassy). For countries that are not members of the Hague Apostille Convention, we can also assist in processing your travel consent letter through the U.S. Department of State and the Embassy or Consulate office.

A travel consent letter is typically signed to grant permission for a minor child to travel outside of the country with another person, such as a father, mother, grandparents, aunt, uncle, etc…. You can obtain a travel consent letter from the airline, travel agency, or find a sample online.

Essentially, the letter should state that you authorize one or more individuals to accompany your child outside the country, specifying the travel dates, your name, the child’s name, the accompanying person’s name, the destination country, passport numbers, and the return date. Including airline information is also recommended.

To finalize the process, the travel consent letter must be signed and notarized by the person granting permission. Once the document is duly signed and notarized, you can mail the original notarized document to our office for processing. Download our apostille order forms and follow the provided instructions for submission.

Office Hours: Monday – Saturday 9am – 6pm

We highly recommend using a notary with at least five years of experience and one who adheres to the notarial laws of their state. Improperly notarized travel consent letters may be rejected by the State, leading to delays and additional costs.

Obtaining an apostille on a consent to travel can be complicated. Don’t leave this process to untrained employees or non-professionals who do not fully understand the apostille process and the unique requirements of certain countries. Your paperwork could be rejected costing you time and money. Don’t let this happen to you!
