Vital Records Apostille

Do you need to apostille your Vital Records?

Have you been told to apostille your birth, marriage, death, or divorce decree?  Vital record documents can only receive an apostille from the state of issue.  For example, a California birth certificate can only receive a California apostille.

Note: Vital record documents cannot be color copied, emailed, notarized, or uploaded to any website.  Beware of sites that ask you to upload your documents!

In order to obtain an apostille on any of these documents, you will need to mail in the original or a County Clerk issued certified copy (Basically as good as the original) or a certified copy issued by the State Registrar.  The first step is to contact the County Clerk’s office (County the Vital Record is filed in) for instructions on how to obtain a new certified copy.  You can also try to order a new copy online through Vital Check.

There are many reasons why a foreign country will request an apostille on your vital record documents.  The most common reasons are:

Death Certificate Apostille

Do you need to apostille a death certificate?

In order to obtain an apostille on a death certificate, you will need to mail in the original or a County Clerk issued certified copy (Basically as good as the original) or a certified copy issued by the State Registrar.  You can contact the County Clerk’s office (County of Death) for instructions on how to obtain a new certified copy.  You can also try to order a new copy online through Vital Check.

There are many reasons why a foreign country will request an apostille on a death certificate.  The most common reasons are:

  • Distribution of Inheritance
  • Property Division

Most states will accept a recently issued death certificate.  The only exception is the states of Virginia and Wisconsin.  Death certificates certificates issued from these two states should be issued within the past 12 months.

Rule of Thumb: Disregard what you read on other websites regarding how old a birth certificate can be.  We recommend that you mail in what you currently have now so we can present it to the state office.  If the state does not accept your document, we will contact you with detailed instructions.

How to apostille a birth certificate?

IRS Tax Apostille

Certified copies of your tax returns issued by the Internal Revenue Service (IRS) can be processed through our Washington DC office.

Certificate of Origin and Commercial Invoice Apostille

Do you need to apostille your Certificate of Origin and Commercial Invoice?

Depending on the country, the first step is to have these documents signed and notarized by the exporter.  Some countries may request these documents to also be signed and notarized by the local Chamber of Commerce.

What is an Certificate of Origin?
A certificate of origin (often abbreviated to C/O, COO or CoO) is a document used in international trade. It is completed by the exporter and certified by an recognized issuing body (Example: Local Chamber of Commerce, State, Federal Government, or Company Representative), attesting that the goods in a particular export shipment have been produced, manufactured or processed in a particular country.  The origin of the product does not refer to the country where the goods were shipped from but to the country where they were made. In the event the products were manufactured in two or more countries, origin is obtained in the country where the last substantial economically justified working or processing is carried out.

What is a Commercial Invoice?
When used in foreign trade, a commercial invoice (C/I) is a customs document. It is used as a customs declaration provided by the person or corporation that is exporting an item across international borders.  Although there is no standard format, the document must include a few specific pieces of information such as the parties involved in the shipping transaction, the goods being transported, the country of manufacture, and the Harmonized System codes for those goods. A commercial invoice must often include a statement certifying that the invoice is true, and a signature.

Good Manufacturing Practice GMP Apostille
